How we connected a construction company and their material supplier to trade and sync invoices automatically, without manual office work.

The problem
Too much manual office work.
Two different systems
A large commercial construction company buys materials daily from its sister distributor company.
Even though they share ownership, they use completely separate business software that couldn’t talk to each other automatically:
- The buyer uses a flexible accounting program.
- The supplier uses DMSi, a rigid warehouse ERP.
The paper and email mess
- Slow order pipeline: Project managers manually typed purchase orders (POs) and emailed them to the warehouse.
- Human typo risks: Warehouse staff retyped the order data, often leading to wrong item counts, part mix-ups or lost papers.
- Reconciliation headaches: Office clerks spent hours balancing bank logs and cross-checking invoices against open PO fields.
The breaking point: 200 to 300 invoices every day
Too fast to keep up
As business grew across the Northeast, the trade loop reached 200 to 300 inter-company invoices every single business day.
Reading, matching, translating and typing 300 multi-line items a day by hand became humanly impossible for the existing team.
The expensive hiring trap
To keep up, management was about to face a major hiring problem:
- They would need to hire at least 3 full-time data-entry clerks just to handle the daily invoice load.
- That meant permanent payroll costs and office overhead without making the process faster or smarter.
The system roadblock: DMSi is locked shut
No direct way in
The goal was simple: push invoices directly into the supplier’s DMSi system automatically. But DMSi is a closed system that blocks outside apps from writing to it directly.
It lacks open API entryways for invoice creation, locking its financial tables tightly to protect bookkeeping standards.
Why brute-forcing it fails
Force-writing records into a closed database introduces major operational risks:
- Warehouse realities: Automated invoices don’t know about yard changes, backorders or item replacements.
- Broken ledgers: Forcing data splits the systems, throwing stock balances and company books out of sync.
The solution
How the “listener” automation works.
Instead of fighting the locked system, we built a background automation that works with the warehouse. It opens a clean Sales Order, lets the yard team review and post it as normal, then reads the result and updates the books.
Behind the scenes: from order to warehouse
STEP 1
Grab the purchase order
Everything starts when a team member logs a job order in the construction accounting system.
Our custom DIGITTO background automation instantly spots the entry, reads the data and securely copies the order fields without any staff help.
STEP 2
Translate text into SKUs
The accounting file describes items in plain text (for example, “Premium Grade Lumber”), but DMSi requires specific numerical codes.
The automation runs the order through a smart translation chart, turns the text into matching warehouse SKUs and opens a clean Sales Order in DMSi.
STEP 3
Yard team stays in control
By staging a Sales Order instead of forcing a final invoice, the human warehouse team stays in charge.
Yard crews handle material shifts, log partial updates and swap missing items on their screens before officially clicking “Post”.
STEP 4
The smart data listener
The moment the supervisor marks the order as shipped, our automated listener catches the status update.
Instead of fighting the locked system to write data, it safely reads the final posted details, extraction counts and updated pricing instantly.
STEP 5
Dynamic PO calibration
Once the automation reads the final invoice data, it applies preset markup rules to match current contract rates.
It double-checks all calculations to make sure the item lists are clean, accurate and ready for balancing.

Automatic balancing
The platform connects back to the corporate accounting system through an encrypted data link.
It adjusts the original open PO rows to match the exact physical quantities and finalized prices, finishing the job loop and syncing the books to the penny without a single mouse click.
Special feature
Handling emergency field pulls.
In construction, field managers often grab urgent truck parts from the warehouse before office staff have a chance to write a matching PO. That creates broken “orphaned” orders. Our automation runs a reverse module to keep everything straight.

While the system runs silently as a background service without needing human help, we built a simple web dashboard so team leads have full visibility.
The screen gives management an easy-to-read window to monitor daily system actions, check transaction speeds, view successful file tallies and verify sync logs.
The 1-click fix queue
If a sync ever fails because a new yard item is missing an accounting master code, the system doesn’t crash.
Instead, it holds the line item in a secure exception queue. Managers get an alert, map the new part code on screen with one click and push the file straight to accounting.
